Executive Assistant / People Manager Renewable Energy Platform

Experienced Executive Assistant sought by successful Renewable Energy Platform. Our client are developing technologies to address the renewable integration challenge ad support the UKs future energy mix.

Over the past six years, they have grown from 3 staff to 60+ and are now in search of a capable and driven Executive Assistant / People Manager to support the companys leadership team.

The successful Executive Assistant / People Manager will split their time across the following duties:

Executive Assistant responsibilities:

  • Manage directorsdiaries and personal affairs;
  • Proactively prepare correspondence in accordance with firm standards;
  • Prepare electronic and hardcopy presentations and proposals and complete various other ad hoc projects;
  • Maintain documents and control access to internal databases;
  • Research, collect, organise and distribute information for internal and external meetings;
  • Coordinate executive seminars, meetings, business hospitality/entertainment and travel arrangements;
  • Liaise with organizations and overseas clients in responding to routine enquiries;

 

People Management responsibilities:

  • Manage monthly payroll, working with third party provider to ensure payroll process is robust and accurate as the company headcount continues to grows;
  • Manage administrative aspects of all new employee joiner and leaver processes to ensure smooth onboarding and exit including tracking probation periods;
  • Manage employee benefits liaising with pension, healthcare, childcare and company car providers;
  • Work with leadership to ensure that overtime, shift pay processes are robust and controlled for Operations team;
  • Manage any issues associated with visas, relocation etc;
  • Oversight of expenses process to ensure appropriate controls and timely reimbursement;
  • Administration of annual leave, sick leave, parental leave process in line with employee handbook;
  • Support MD / FD to make updates to employee handbook as required;
  • Support MD / FD with administration of share scheme and incentive schemes as required;
  • Assist management team with administrative processes associated with contractors if required;

 

Essential skills, experience & attributes:

  • A minimum of 5 yearsexperience working for senior level executives and completion of a recognised secretarial program;
  • Extensive knowledge of Microsoft Office Suite;
  • Ability to exercise discretion and confidentiality;
  • Ability to work well under pressure with close attention to detail;
  • Proven capacity for independent judgment and decision making using ones own initiative;
  • Excellent planning and organisational skills with the ability to successfully adapt to changing priorities;
  • Ability to compose and produce grammatically correct correspondence;
  • Ability to produce executive presentations for international clients using appropriate software;
  • Prioritize and share multiple workloads between different levels of management;
